Calvary Cemetery is seeking the right candidate to fill the role of Administrative Assistant. This is a full-time position working 32.5 hours per week with benefits. The right candidate will provide critical support to the Cemetery Manager in day-to-day communications. In addition to providing essential administrative support (e.g., managing the daily calendar and responding to routine queries directed to the office), the position would manage several important recurring initiatives. The incumbent would assist in the cemetery’s efforts in written, regular communications to families, existing and potential customers. Must be able to manage multiple tasks and field telephone calls from ministry related professionals including but not limited to funeral professionals, monument dealers, and general inquiries.
Duties & Responsibilities(include but are not limited to the following):
Provide high-level, confidential, administrative services to the Cemetery Manager. Respond to general emails, prepare written communications, correspondence, invoices, and reports. Manage the daily/weekly funeral schedule; schedule appointments with potential customers, families, vendors, and contractors.
Work closely with funeral professionals to prepare for and schedule weekly funerals. Meticulous attention to detail, collect information, and schedule interments/entombments. Create and issue contracts, invoices, receipts, and work orders.
Prepare communications to customers. Update website funeral schedule daily, issue work orders, prepare inscription layout.
Answer telephone and greet visitors. Communicate regularly with cemetery staff. Maintain database and filing system (electronic and paper).
Perform other duties and assist with projects as assigned.

Required Qualifications:
Associate degree (or higher). Extensive experience, especially in a role that involves significant written/oral communications and independent problem-solving, may substitute for a bachelor’s degree.
Ability to apply critical thinking skills to assess work products for potential errors, omissions and inconsistencies.
Strong project management skills; able to manage multiple projects and initiatives concurrently and independently.
Computer literate. Proficiency in Microsoft Office Suite, and various internet browsers and databases. Training can be provided.
Excellent writing skills with the ability to draft well-organized documents based on a general description of their goal or purpose.
Excellent communication skills with the ability to explain clearly, offer constructive suggestions and demonstrates compassion in a calm manner. Telephone skills.

Education/Experience:
Associate degree (or higher) preferred
1 - 3 years working in office setting
